The method

How it runs

Step by step: what we do, what you get, and what it looks like on one kind of job, delivery paperwork at a trader. The example is an illustration, not a case.

In four lines

A look back first.

We go through past months in your own records and produce a figure for what went unbilled, unclaimed or late.

A parallel run.

The system works beside your team on the same files for a few weeks, and we compare.

A named person approves.

Every output is signed off by someone on your team, and every field shows the record it came from.

Your data stays yours.

It stays in your environment. Nothing we build sends it to a public model for training.

01 A look back

What we do

We spend a day or two at your operation, beside the people who handle the documents, watching the real files and the real exceptions. Then we go through past months in your own records and produce a figure for what went unbilled, unclaimed or late.

You get

That figure, in your own units, and a map of every manual step between your systems.

Illustration

Every delivery note is typed into a spreadsheet, then typed again into the ERP. Several columns turn out to be read by no one.

02 Decide

What we do

We write a one-page memo naming the one workflow worth taking over, today's number and the target. You sign it, or you keep the map and we stop.

You get

A signed go or no-go, and the target the refund is measured against.

Illustration

The memo picks the delivery-note workflow, sets the error rate on a sample of real documents as the baseline, and names the target.

03 Build

What we do

We connect the model to your system of record, inbox or archive through the interfaces they already have, and build the review queue your team approves from. Everything runs in your environment, with your keys. We test against your real documents as we go.

You get

A short status note every week: what shipped, the number today, blockers, what is next.

Illustration

The customer is matched from your existing list instead of read from handwriting. Anything unclear goes to a person.

04 A parallel run

What we do

The system works beside your team on the same files for a few weeks, and we compare. Every output is signed off by a named person on your team, and every field shows the record it came from. Nothing goes live until the numbers hold.

You get

Before-and-after numbers in your own units, a handover document, and code, prompts and evaluations in your repositories.

Illustration

Notes are processed as they arrive instead of in an end-of-day batch. The person who typed them now approves the uncertain ones.

05 Run

What we do

We monitor it, check it against the baseline each month, move it to better models as they ship, and start on the next workflow. Each quarter we come to your operation with the numbers.

You get

A visible backlog, and a quarterly review in person, using the numbers rather than a deck.

Illustration

The next workflow is order intake from WhatsApp. It runs the same way: a look back, a decision, a parallel run.

The exit

How the refund works

If nothing is worth building, we stop here and you keep the map. If we build and the first system misses the target we agreed in writing, measured in your own systems, we refund the deployment fee.
